How does Alessia use AI safely?

Right now, Alessia uses AI in a limited capacity - where it saves time without taking decisions or judgement away from clinicians. Our voice-to-text notes with AI summary speed up capture and evidence retrieval, but users remain responsible for what is recorded. An original transcript and the original voice note will always be available for cross-check.

Very soon you will see assistance that helps you organise and plan. We are adding AI-aided entry creation, gentle nudges linked to your goals (e.g. you're behind on your CPD hours this month), and AI-aided insights that highlight gaps in portfolios or competency acquisition. We are also looking at using AI to detect clinician burnout, bringing attention to work pressure and wellbeing issues sooner.

Our approach is innovation with caution. All AI features are opt-in. Nothing is auto-approved. We keep audit trails, comply with GDPR, and leave judgement, evaluation and sign-off in human hands.

Is offline logging supported for low-connectivity settings?

A million times yes.  Alessia is designed for busy clinical environments where Wi-Fi and mobile data aren’t always reliable. You can log any entry or session offline in the mobile app. All data is stored securely on your device and automatically syncs with your account as soon as you’re back online. This means you can keep logging seamlessly in theatres, radiology suites, or any other low-signal setting without losing a record.

Can I add the specific detail my subspecialty needs?

Absolutely. Alessia is broad and flexible with hundreds of thousands of procedures drawn from international medical coding datasets, so most subspecialty work is covered. For extra depth and detail, you can add optional fields from our library (e.g. clinical context, procedure specifics, supervision, outcomes). If something you need isn’t there, suggest it - we review quickly and build popular requests into the product for the benefit of everyone.

Can I separate and export evidence by employer, country or date window?

Yes - this is exactly what Insights and Reports are for. In Insights, you can filter your evidence by hospital or site, country, entry type, role, tags or competencies, and set a precise date window - giving you clear counts, percentages and trends for that exact slice: your case mix, activity over time, and where your evidence is strong or thin. When you need to hand it over, Reports turns your portfolio into a clean, structured PDF - procedures broken down by supervision level, urgency and more, plus clinical encounters, CPD, reflections and competency progress - or a CSV for the raw figures, for whatever period you choose.

Is Alessia suitable for nurses, dentists, advanced practitioners and allied health professionals?

Alessia is a flexible clinical portfolio for multiple professions. Because everyone draws from the same international medical coding sets, coverage is wide, and you can add depth with optional fields, reflections, tags and attachments. This makes it a good fit for dentistry, nursing, advanced clinical practitioners and many allied health professions - including paramedics - who want to capture shifts and cases, record selective procedures, and log professional activities such as supervision, teaching, audit and quality improvement projects (QIPs). If you need a specific field for your scope of practice, suggest it to us - popular requests are validated and built into Alessia to keep pace with real-world practice.

Can I collaborate with colleagues inside Alessia?

Collaboration is a big part of our product roadmap. Soon you'll be able to invite supervisors to sign off activities, tag colleagues and their roles in your procedural entries, cases and shifts, and even request structured multi-source feedback from the team. These additions are designed to keep your evidence authentic and connected to the people you work with, while still giving you a portfolio that feels organised and under your control.

Can I get reminders to log or reflect?

Yes. Alessia supports lightweight, on-the-spot reminders. Set a reminder on any entry or session and choose a time (4 hours, 24 hours, 1 week, and more) to return and add depth, complete notes or write a reflection. We're also building scheduled reminders - think end-of-rotation debriefs, monthly reflection prompts, or a quarterly patient feedback cycle - so steady, spaced evidence becomes the norm rather than a last-minute stress.

Can I customise roles, supervision levels and labels to match my training scheme or hospital?

Yes - Alessia records roles and supervision levels in your scheme's own language. Rather than typing your own labels, you select the standardised supervision and role code sets that match your programme - for example the ISCP surgical supervision levels - and every entry then uses that framework's terminology, so your portfolio and your exported reports line up with what your assessors expect. If the set your training body uses isn't in the library yet, just tell us and we'll add it. Being able to edit labels yourself is on the roadmap; for now, choosing the right standardised set covers most programmes.

How do Sessions and Entries work in Alessia?

Alessia separates the time you spend (Sessions) from the activities you do (Entries). Sessions are time blocks - shifts, clinics, ward rounds or operating lists - and Entries are what you log inside them: Interventions (procedures, ultrasounds), Encounters (patient cases), Professional Activities (teaching, audit, quality improvement and more) and Assessments (such as a mini-CEX or DoPS).

You don't have to start with a Session - you can log an encounter, a procedure or an activity on its own and link it to a Session later. Entries can also link to each other, which lets you build a full chain of evidence. For example, record a procedure and add a mini-CEX or DoPS assessment on it, then attach both to the patient case they belong to - the case, the procedure and the sign-off all connected. It's up to you how much you nest and link.

What if something I need isn't in Alessia?

If something you need isn’t already in Alessia, just let us know. We welcome suggestions for new procedures, fields or calculators. If they’d benefit many doctors, we build them in for everyone. We aim to evaluate user suggestions quickly so we don’t hold your portfolio up - and we will let you know when your suggestions go live.

Can I add more detail to procedures?

Absolutely. Start with our optional fields library to capture what matters. If something's missing, suggest a new field; we review, validate and add popular requests to the core set. Alternatively, if you prefer, you can make voice notes with an AI summary, leave unlimited written notes or attach (anonymised) supporting evidence.
